Privacy Policy

How we process your personal data and how you stay in control. Last updated: October 2026.

1. Who We Are

Lensys SRL ("Lensys", "we"), a company of the Euranova group, company number BE 0653.885.215, registered office Rue Emile Francqui 4, 1435 Corbais, Belgium, represented by Hervé Bath, managing director (administrateur délégué). Lensys connects independent IT, data and transition management experts with client missions, mainly in Belgium. Lensys is the data controller for the processing described in this policy.

For any question about your personal data, or to exercise your rights, write to [email protected]. Your request will be handled with our data protection officer.

2. Data We Process and Where It Comes From

Depending on how you are in contact with us, we process:

  • Identity and contact data: name, email address, phone number, LinkedIn profile.
  • Professional data: CV, skills, experience, education, languages, certifications, past missions, availability, daily rate, freelance or employee status.
  • Career aspirations: the roles, technologies and environments you are looking for.
  • Our exchanges: emails exchanged with you, notes taken by our team during or after an interview or a call, and your preferences about being contacted.
  • Account data if you create an account: login details and the information you add to your profile.
  • Browsing data: technical data needed to run the website and, only with your consent, audience measurement data (see our Cookie Notice).

This data comes from you (applications, account, emails, interviews) and, if you previously applied to or had an interview with a company of the Euranova group, from the recruitment records of that company, which shares them within the group for the purposes described below. It may also come from public professional profiles you published (for example on LinkedIn).

We do not ask for, and ask you not to send us, sensitive data such as health data, religious or political opinions, or trade union membership.

3. Purposes and Legal Bases

Why we process your dataData concernedLegal basis
Matching your profile with freelance missions and contacting you about opportunities that fit your experience and aspirationsIdentity and contact data, professional history, aspirations, previous exchanges with us or the Euranova groupOur legitimate interest in offering relevant missions to professionals we have already been in contact with. You can object at any time, simply by replying to any of our emails.
Handling your application to a mission published on our websiteData and CV you submit in the application formSteps taken at your request before a possible contract
Presenting your profile to a clientCV and professional data relevant to the missionYour agreement: we never present your profile to a client without asking you first
Managing your account on the platform (profile, availability, applications)Account and profile dataPerformance of our terms of use
Following up our exchanges and respecting your choices (for example not contacting you again, or only after a date you indicated)Email address, history of our exchanges, your preferencesOur legitimate interest and our legal obligation to respect your objection
Measuring the audience of our websiteBrowsing data collected by Google Analytics cookiesYour consent, given in the cookie banner (see our Cookie Notice)
Meeting our legal, accounting and tax obligations, and defending our rightsContractual and billing data, records of exchangesLegal obligation and legitimate interest

Where we rely on our legitimate interest, we have checked that it does not override your interests: we only contact professionals whose profile is relevant to the mission, we keep our messages occasional and personalised, and every message lets you object in one reply.

4. Artificial Intelligence and Human Oversight

We use AI tools (large language models) to help our team:

  • assess how well a mission matches your experience and the aspirations you expressed ("aspiration score"), and summarise your profile for our team;
  • prepare drafts of the emails we send you, and summarise the replies you send us.

Data minimisation: before any data is sent to an AI provider, we remove or mask the information that directly identifies you (last name, email address, phone number, profile links) and the last names of the people you met. The AI tools only receive first names and professional information; the identifying details are put back on our own servers.

Human oversight: no decision about you is taken solely by automated means. Every match, every email and every reply is reviewed and validated by a member of our team before anything is sent, and you can always ask for a person to review a decision concerning you. The AI tools are not used to evaluate you for an employment decision by a client.

5. Who Receives Your Data

Your data is only accessible to the people who need it, and is never sold. It may be shared with:

  • The Lensys team and the Euranova group companies involved in finding and managing missions.
  • Clients to whom we present your profile, only with your prior agreement.
  • Our service providers, acting on our instructions: cloud hosting (servers located in Belgium), email and office tools, our recruitment and matching tools, AI providers (pseudonymised data only, see section 4), and audience measurement (with your consent).
  • Public authorities, when required by law.

6. Transfers Outside the European Union

Our servers and our main data are located in the European Union. Some service providers may process data outside the European Economic Area:

  • Google (email, office tools and, with your consent, Google Analytics) may process data in the United States, under the EU-U.S. Data Privacy Framework and the European Commission's standard contractual clauses.
  • AI providers may be located outside the European Economic Area, including in countries that are not covered by an adequacy decision of the European Commission. For this reason, we only send them pseudonymised professional data that does not directly identify you: no last name, email address, phone number or profile link (see section 4).

You can ask us for more information about these transfers by writing to [email protected].

7. How Long We Keep Your Data

DataRetention period

8. Security

We protect your data with technical and organisational measures adapted to the risks: encrypted connections, access restricted to authorised team members with individual accounts and roles, pseudonymisation before any processing by AI providers, regular backups, and security reviews of our platform. If a data breach is likely to put your rights at risk, we will inform you and the supervisory authority as required by law.

9. Your Rights

Under the GDPR, you can at any time:

  • object to being contacted about opportunities: reply "stop" to any of our emails or write to us, and we will no longer contact you;
  • access your data and receive a copy;
  • have inaccurate data corrected;
  • have your data erased ("right to be forgotten"), unless we must keep it to meet a legal obligation;
  • ask us to restrict the processing of your data;
  • receive the data you gave us in a portable format (portability);
  • withdraw your consent where processing is based on it (for example cookies, via "Cookie settings" at the bottom of each page), without affecting processing that took place before;
  • ask for a human review of any assessment made with the help of AI.

Write to [email protected]. We answer within one month. We may ask you to confirm your identity.

You also have the right to lodge a complaint with the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit), Rue de la Presse 35, 1000 Brussels, www.dataprotectionauthority.be.

10. Changes to This Policy

We may update this policy, for example when our services or the law change. The date of the last update is shown at the top of this page. If a change significantly affects how we use your data, we will inform you by email or on the website.
